Signings we handle
| Signing | What to expect |
|---|---|
| Refinance | A full borrower package: note, deed of trust, closing disclosure, and lender and title documents. For many refinances of a principal residence, federal rules provide a three-business-day right to rescind after signing. The funding date accounts for that. |
| Purchase — buyer package | Usually the largest package: loan documents plus title and settlement documents. Purchase loans don't carry a right of rescission. |
| Purchase — seller package | Typically shorter: the deed, settlement statement, payoff authorizations and affidavits. Sellers who can't attend the main closing often sign separately. |
| HELOC | A home equity line of credit secured by your home. Generally a shorter package, and it usually includes a right-to-cancel notice. |
| Reverse mortgage | A detailed package for homeowners, typically 62 and older. We allow plenty of time, and we encourage family members the borrower trusts to be present if the borrower wishes. |
How a signing appointment works
- Assignment and documents. The title company, escrow agent or signing service sends the package and instructions.
- Preparation. We print the package and review the instructions, the signers' names, and every page needing a signature, initial, date or notarization.
- Confirmation. We confirm the time, place and ID requirements with the borrowers.
- The signing. We check each signer's ID and present each document by name and purpose. We make sure every signature, initial and date is complete, and notarize the documents that require it. Questions about rates, terms or fees go to the loan officer or title company.
- Quality check. Before anyone leaves, we review the full package page by page for missed signatures, initials, dates and notary certificates.
- Return. We send scanbacks if requested and return the original documents exactly as instructed, promptly.
Before signing day: three steps for borrowers
The smoothest closings happen when the homework is done before the signing agent arrives:
- Read your Closing Disclosure. For most mortgages, your lender must give you the Closing Disclosure at least three business days before closing. Compare it with your Loan Estimate, and call your loan officer about anything that changed.
- Confirm who signs. Make sure every borrower — and any non-borrowing spouse the title company says must sign — can attend, with a valid ID.
- Confirm funds the safe way. If you need to bring or wire money, verify the amount and instructions by calling the title company at a number you already know.
What borrowers should bring
- Unexpired government photo ID for every signer — ideally the same ID you provided to your lender, with your name as it appears on the loan documents.
- Every borrower on the loan. If someone can't attend, talk to the lender or title company well before signing day about alternatives, such as a separate signing or an approved power of attorney.
- Anything your title company requested, such as a cashier's check, proof of homeowner's insurance, or payoff information.
- Your questions about the loan, sent to your loan officer ahead of time, so signing day is just signing.
- Reading glasses and time. Don't book a signing 30 minutes before school pickup.

For title, escrow and signing services
If you place signings in the Fredericksburg area, here's what you can expect from us:
- Certified Notary Signing Agents. Signing agent certification generally involves training, an exam and a background screening.
- Professional presentation. We arrive prepared, follow your instructions to the letter, and keep borrowers focused and comfortable.
- Clean packages. Every signature, initial, date and notary certificate is reviewed before the signing ends. Virginia requires our registration number, commission expiration and seal on every certificate, and we check each one.
- Fast scanbacks. We send scanbacks promptly when requested, then return originals by the method you specify.
- Clear communication. If anything is off — a name mismatch, a missing page, a borrower question for the lender — we contact you right away.

What a signing agent can't do
A signing agent is an impartial notary, not your lender, attorney or settlement agent. We can't explain or recommend loan terms, rates or fees, or give legal or tax advice during the signing, and we can't change any document. That boundary protects you and keeps the closing valid. Have the lender's and title company's phone numbers handy in case a question comes up.
A new home or a refinance can change your taxes, too: mortgage interest, points, property taxes and home-equity interest all have specific rules. Our tax planning and tax preparation services can help after closing. For other documents, see our general notary public services and our guide on what to bring to a Virginia notary.

Frequently asked questions
What is a Notary Signing Agent?
A Notary Signing Agent (NSA) is a commissioned notary who specializes in real estate loan documents. The signing agent presents each document to the borrowers, makes sure every signature, initial and date is in place, notarizes the documents that require it, and returns the package to the title or escrow company.
Can the signing agent explain my loan terms?
No. A signing agent can tell you what each document is called and where to sign, but can't explain or advise on your rate, terms or fees. Call your loan officer or the title company with those questions — ideally before signing day.
What do borrowers need to bring to a loan signing?
Each borrower needs unexpired government photo ID, usually the same ID given to the lender. Bring anything else your title company or lender asked for, such as a cashier's check or proof of insurance.
Can a loan signing happen outside normal office hours?
Our office hours are Monday–Friday, 9:00 AM to 5:00 PM, and loan signings can be arranged at other times. Call (540) 479-1500 to ask about availability and mobile signing options.
Do I have a right to cancel after a refinance signing?
Often, yes. Federal Regulation Z gives a three-business-day right to rescind for many loans secured by your principal dwelling, such as most refinances with a new lender and HELOCs. Purchase loans don't have it. Your lender's notice explains the exact deadline for your loan.
