Tax Document Checklist: What to Bring to Your Tax Appointment (2026 Returns)

A complete tax document checklist is the single best way to make your tax appointment faster, cheaper and more accurate. Missing paperwork is the number one reason returns get delayed or amended. Use this checklist to gather everything for your 2026 federal and Virginia returns, including the new documents the One Big Beautiful Bill Act requires for tips, overtime, car-loan interest and more.

Key takeaways

  • Bring ID, Social Security numbers for everyone, last year's returns and your bank routing and account numbers. The IRS is phasing out paper refund checks.
  • New for 2026: check your W-2 for codes TP (tips) and TT (overtime), and bring your lender's interest statement and VIN if you financed a new car after 2024.
  • Virginia filers should add estimated payment confirmations, Virginia529 statements, county tax bills and any other-state W-2s.
  • Life changes (marriage, a baby, a home sale, retirement) almost always mean extra documents.

How to use this checklist

Start a folder (paper or digital) in January and drop each form in as it arrives. Most forms show up by early February 2027, brokerage statements by mid-February, and K-1s from partnerships and S corporations often not until March or later. Check items off as you go, then book your appointment once the folder is complete.

Tax appointment document checklist card A checklist card with six groups: identity (photo ID, SSN cards or ITINs, IRS IP PIN); income (W-2s with codes TP and TT, 1099s, SSA-1099); deductions and credits (1098 and property tax bills, charity records, childcare provider details); self-employed and rental (income and expense totals, mileage log, estimated payments); new for 2026 (car-loan interest and VIN, Trump account information, tip and overtime records); Virginia (Virginia529 statements, 760ES confirmations, other-state W-2s or returns). 2026 RETURN Bring to your tax appointment Identity Income Deductions & credits Self-employed & rental New for 2026 Virginia Photo ID for you and spouse SSN cards or ITINs for all IRS IP PIN, if you have one W-2s (check codes TP, TT) 1099s: NEC, K, INT, DIV, B, R SSA-1099 and other income 1098 and property tax bills Charity receipts and records Childcare costs, provider ID Income and expense totals Mileage log, both rate periods Estimated payment records New-car loan interest + VIN Trump account (Form 4547) Tip and overtime records Virginia529 statements 760ES payment confirmations Other-state W-2s or returns
The short version of the checklist. Every item is explained in the sections below.

Identity and the basics

  • Government photo ID (driver's license or passport) for you and your spouse.
  • Social Security cards, or ITIN letters, for everyone on the return: you, your spouse and each dependent. Names must match Social Security records exactly.
  • Dates of birth for everyone, including your own (age 65 matters for the new senior deduction).
  • Your 2025 federal and Virginia returns, if we did not prepare them. We use last year's AGI to verify your e-file signature and to spot carryovers.
  • Your IRS Identity Protection PIN (IP PIN) if you have one. A new one is issued each year.
  • A voided check or your bank's routing and account numbers. The IRS began phasing out paper refund checks on September 30, 2025; direct deposit is usually less than 21 days, while a mailed refund can take six weeks or more.
  • Any IRS or Virginia Tax letters you received during the year.

Income documents

Bring every income form, even if you think it does not matter. The IRS receives a copy of each one and matches them against your return. A missing 1099 is a common trigger for a CP2000 notice.

Also bring records of income that may not come with a form: cash tips you did not report to your employer, side-gig payments under the reporting threshold, rental income, alimony from a divorce finalized before 2019, gambling winnings (with losses, which are now limited to 90% of winnings), and any foreign accounts or income.

Deductions and credits

With the SALT cap at $40,400 for 2026, more Fredericksburg-area homeowners will itemize again, so it is worth bringing these even if you took the standard deduction last year.

  • Home: Form 1098 (mortgage interest), county real estate tax bills, and personal property (car) tax bills.
  • Charity: receipts for cash gifts (new for 2026, non-itemizers can deduct up to $1,000, or $2,000 joint), written acknowledgments for any gift of $250 or more, and values and dates for donated goods or stock.
  • Childcare: amounts paid and each provider's name, address and EIN or SSN. The child and dependent care credit rate rises to as much as 50% for 2026.
  • Education: Form 1098-T from each college and Form 1098-E for student loan interest. Education credits now require SSNs issued before the return's due date.
  • Health: Form 1095-A if you had Marketplace coverage (there is no longer a cap on repaying excess advance credits), Forms 1099-SA and 5498-SA for an HSA, and large unreimbursed medical bills.
  • Retirement: records of IRA contributions, and QCD confirmations from your IRA custodian.
  • Educators: receipts for classroom supplies (federal deduction, plus Virginia's $500 deduction is back for 2026).

Self-employed and rental property owners

Business and side-gig income

  • Total income, with all 1099-NEC and 1099-K forms. Bring your own records too; not every client will send a 1099 under the new $2,000 threshold.
  • Profit-and-loss report or categorized expense totals (from QuickBooks or a spreadsheet).
  • Mileage log with dates, miles and purpose. For 2026, miles from January to June use 72.5 cents and miles from July to December use 76 cents, so total each half separately.
  • Home office square footage and total home square footage, plus utility and rent or mortgage totals.
  • Receipts for equipment, vehicles or software over a few hundred dollars, with purchase and placed-in-service dates.
  • Health insurance premiums you paid yourself, and any solo 401(k) or SEP contributions.
  • Dates and amounts of every 2026 estimated payment, federal and Virginia.
  • Copies of 1099-NECs you issued to your own contractors.

If gathering this takes more than an afternoon, our small business bookkeeping guide shows how to keep it organized all year.

Rental property

  • Rents received and security deposits kept.
  • Mortgage 1098, property tax bills and insurance for each property.
  • Repairs, management fees, HOA dues, utilities you pay, advertising and travel.
  • Purchase closing statement and receipts for improvements (for depreciation), plus last year's depreciation schedule.
  • Days rented and days of personal use, for any property you also use yourself.

New documents for 2026 returns

The One Big Beautiful Bill Act added deductions that each come with their own paper trail. Our guide to the 2026 tax law changes explains who qualifies.

  • Tips: W-2 box 12 code TP and the occupation code in box 14b. Contractors look for 1099-NEC box 1b (tips) and 1c (occupation code), 1099-MISC box 13, or 1099-K box 1c. Keep your own daily tip log too.
  • Overtime: W-2 box 12 code TT (or 1099-NEC box 1d, 1099-MISC box 14). Federal civilian employees should bring their SF-50 showing FLSA status (block 35).
  • Car-loan interest: the lender's statement of interest paid in 2026, the purchase contract and the VIN. The car must be new, assembled in the U.S., financed after 2024, and for personal use.
  • Senior deduction: nothing extra beyond birth dates and SSNs. Married couples must file jointly.
  • Trump accounts: if you want to open one for a child under 18 or claim the $1,000 pilot contribution for a child born 2025 through 2028, bring the child's SSN and any confirmation if you already elected online with Form 4547.
  • Child Tax Credit: each child's SSN card. The $2,200 credit requires an SSN valid for employment, issued by the return's due date.

Virginia-specific documents

Military families

Service members and spouses near Quantico, Dahlgren and Fort A.P. Hill should also bring their December LES or W-2, DD Form 2058 (state of legal residence), orders for any combat zone or PCS move, and the spouse's documents for the Military Spouses Residency Relief Act. Virginia offers subtractions for certain military basic pay and military retirement income, so bring every 1099-R. Our military tax guide for Virginia goes deeper.

Life changes that mean extra paperwork

A big change in your life almost always changes your return. If one of these happened in 2026, bring the matching documents.

Life events and the extra documents they require Married or divorced: divorce decree or settlement and an updated name with Social Security. New child or adoption: child's SSN card, adoption papers and childcare provider details. Bought or sold a home: Closing Disclosure, Form 1099-S and improvement receipts. Retired or turned 65: 1099-R, SSA-1099, RMD and QCD records and birth dates. Started a business: EIN, 1099s and expense and startup records. Moved between states: move dates, each state's W-2 and other states' returns. Before your appointment

  1. Wait for every form. Do not file before your 1099-Bs and K-1s arrive. Corrected brokerage forms in February and March are common.
  2. Compare to last year. Flip through your 2025 return: every W-2, 1099 and schedule on it should have a 2026 counterpart, or a reason it is gone.
  3. Write down questions and changes. New job, new dependent, a big medical year, a move: a short note saves time.
  4. Book your appointment. Use our online scheduling to pick a time with our Fredericksburg office. We are open Monday through Friday, 9:00 AM to 5:00 PM.
  5. Send documents safely. Bring originals or copies to your appointment, or contact us about secure ways to send documents. Please do not email Social Security numbers or tax forms.

Your 2026 federal return is due April 15, 2027, and your Virginia return is due May 3, 2027, because May 1 falls on a Saturday. See the full 2026–2027 deadline calendar, and let our tax preparation team take it from there.

How long to keep your records

The IRS generally says to keep tax records for at least three years after you file. Keep them six years if you left out more than 25% of your income, seven years if you claimed a loss from worthless securities or a bad debt, and at least four years for employment tax records if you have employees. Keep records for a home, rental property or investment until the limitations period ends for the year you sell it. And keep copies of every filed return; they make next year (and any amendment) much easier.

Frequently asked questions

What documents do I need to file my taxes?

At minimum: photo ID, Social Security numbers for everyone on the return, last year's returns, every W-2 and 1099 you received, records of deductions such as mortgage interest, property tax and donations, and your bank routing and account numbers for direct deposit.

What new documents do I need for my 2026 return?

If you earned tips or overtime, check your W-2 for box 12 codes TP (tips) and TT (overtime) or the matching boxes on a 1099. If you financed a new U.S.-assembled car after 2024, bring the lender's interest statement and the VIN. If you are opening a Trump account for a child, bring the child's SSN and your account details.

Why do I need my bank account information?

The IRS began phasing out paper refund checks on September 30, 2025. Giving your routing and account numbers lets your refund arrive by direct deposit, usually in less than 21 days, while a mailed refund may take six weeks or longer.

What if a tax form is missing or wrong?

Contact the employer or payer first and ask for a corrected form. If you still cannot get a W-2, the IRS can help after the end of February, and in some cases you can file with Form 4852 using your final pay stub. Do not file before brokerage forms arrive; corrected 1099-Bs are common.

What Virginia documents should I bring?

Bring any record of Virginia estimated payments (Form 760ES confirmations), Virginia529 or ABLEnow contribution statements, real estate and personal property tax bills from your county, and W-2s or returns for any other state where you worked or lived.
